In most charities, donations live in the payment gateway, sponsorships in a spreadsheet, donors in a relations officer's phone, and accounting in a separate system. When the board or the regulator asks how much the Ramadan campaign raised, how many sponsorships are active, or which donor stopped — days of manual compilation begin.
We built a system on Odoo that brings these into one record: donor, campaign, donation, sponsorship, beneficiary and accounting entry — all created from a single transaction.
Each campaign gets a public page with its target and progress, and an online payment gateway (mada, cards, Apple Pay via the provider) that creates the donation, its receipt and its accounting entry automatically. Cash and transfer donations are recorded from the same screen with the same effect.
A sponsorship is not one gift but a recurring contract between a sponsor and a beneficiary. The system manages its duration, value and frequency, matches beneficiary to sponsor, sends reminders when due, and shows the charity active, overdue and ended sponsorships — and the sponsor who stopped, before they are forgotten.
Sponsors get a portal to see their beneficiaries, reports and payments, staying reassured about the impact of their money without calling anyone.
One record per donor with complete history: gifts, sponsorships, preferred campaigns and contact channel. Targeted campaigns are built from it: who gave last Ramadan but not this year? who sponsored then stopped? who always gives to one project?
This base integrates with an AI-powered WhatsApp assistant that answers the donor, receives the donation and sends the receipt — around the clock, in Arabic, with no extra staff.
Every donation and sponsorship generates its entry in Odoo accounting itself, classified by cost centre, project and source. Regulator and donor reports come straight from the system: collected, spent per project, administrative expense ratio — auditable figures, not manually compiled tables.
